Direct Onboarding Path

Step-by-step onboarding journey for customers who start directly at the Vault onboarding portal rather than through Microsoft AppSource.

If you are not starting from a Microsoft AppSource install (for example, a partner referral, a product demo, or direct discovery), you can begin the onboarding process directly at the Vault portal. The deployment steps are identical to the AppSource path; you simply start with the Dispatcher rather than an adapter.


Step-by-step journey

1. Request access

Go to the Vault onboarding portal:

  1. Click Sign in with Microsoft or Sign in with Google using your work account
  2. Fill in your company details, contact email, and which adapters you plan to use
  3. Indicate whether this is a sandbox/demo or production deployment
  4. Submit the form

You receive an email confirmation immediately.

Sandbox vs. production

If you are evaluating REFRACT Platform in a sandbox environment before a production rollout, select Sandbox. You will receive a sandbox-scoped trial license. When you are ready for production, a separate production license is issued and a new production deployment is performed. The sandbox environment is not migrated or promoted to production.


2. License issued

The Vault team reviews your request, typically within one business day. Once approved:

  • Your 30-day trial license file is emailed to you
  • You receive a link to your tenant admin portal at vaultpdf.io
  • A Vault onboarding engineer reaches out to schedule your deployment session

3. Onboarding session

A Vault engineer joins a call with your team and assists with:

  1. Downloading the REFRACT Platform Dispatcher package from the Release Center
  2. Deploying the Dispatcher as an Azure Function in your Azure subscription
  3. Adding the license file to the Dispatcher configuration
  4. Installing the relevant adapters for your Microsoft environment (BC, Dynamics Sales, or Power Platform)
  5. Configuring the adapter with your Dispatcher URL
  6. Setting up the VaultLifecycle workspace in SharePoint
  7. Loading Vault Packs into your VaultLifecycle workspace based on the products you selected in your onboarding request

No prior adapter install required

On the direct path, you deploy the Dispatcher first, then install adapters. This means adapters can be configured with a working Dispatcher URL from the start, with no "setup required" state.


4. System Status Check

From the VaultLifecycle workspace, run Reports → System Status Check. The report confirms:

  • Dispatcher is reachable and responding
  • License is valid and shows correct expiry
  • Storage configuration is accessible
  • SharePoint list structure is correct
  • Software update status is populated

All sections green means your deployment is complete. Your Vault Packs are loaded and your team can start generating documents immediately.


5. Trial period and conversion

Your 30-day trial begins from the date the license is issued. You will receive reminder emails at day 7, day 3, and day 1 before expiry.

To continue after the trial, subscribe through the Vault admin portal. The Vault admin upgrades your license plan in the portal. Your Dispatcher, adapters, and VaultLifecycle workspace are unaffected. No reinstall or redeployment is required. See Trial and Licensing for full details.
