Step-by-step onboarding journey for customers who install a REFRACT Platform adapter from Microsoft AppSource.

When you install a REFRACT Platform adapter from Microsoft AppSource, the adapter is placed into your Microsoft environment but cannot function yet. It needs a REFRACT Platform Dispatcher and a license file. This page walks through exactly what happens after that install.


Step-by-step journey

1. Install from AppSource

Find and install your adapter on Microsoft AppSource:

The install completes within a few minutes. At this point the adapter is present in your environment but has no Dispatcher URL configured.


2. Post-install prompt

After the install completes, you will see a "Setup required" message or configuration page inside the adapter. This is expected. The adapter cannot generate documents until it is connected to a Dispatcher.

The prompt directs you to:

3. Request access

At the onboarding portal:

  1. Click Sign in with Microsoft and authenticate with your work account
  2. Fill in your company details, contact information, and which adapters you are deploying
  3. Indicate whether this is a sandbox/demo or production deployment
  4. Submit the form

You receive an email confirmation immediately.

Microsoft sign-in

Signing in with Microsoft authenticates your identity for the onboarding form. Your license is not yet bound to a tenant at this stage. The license becomes bound to your Microsoft 365 tenant automatically on the Dispatcher's first call after deployment, when your Azure tenant ID is detected from your environment. No access to your tenant data is requested or granted.


4. License issued

The Vault team reviews your request, typically within one business day. Once approved:

  • Your 30-day trial license file is emailed to you
  • You receive a link to your tenant admin portal at vaultpdf.io
  • A Vault onboarding engineer reaches out to schedule your deployment session

Your tenant admin portal shows your license details, trial expiry date, and the adapters included in your license.


5. Onboarding session

A Vault engineer joins a call with your team and assists with:

  1. Downloading the REFRACT Platform Dispatcher package from the Release Center
  2. Deploying the Dispatcher as an Azure Function in your Azure subscription
  3. Adding the license file to the Dispatcher configuration
  4. Entering the Dispatcher URL into your adapter settings
  5. Setting up the VaultLifecycle workspace in SharePoint
  6. Loading Vault Packs into your VaultLifecycle workspace based on the products you selected in your onboarding request

6. System Status Check

From the VaultLifecycle workspace, run Reports → System Status Check. The report confirms:

  • Dispatcher is reachable and responding
  • License is valid and shows correct expiry
  • Storage configuration is accessible
  • SharePoint list structure is correct
  • Software update status is populated

All sections green means your deployment is complete.

You're live

Once the System Status Check passes, your adapter is fully operational. Your Vault Packs are loaded and ready - your team can generate documents through Business Central, Dynamics Sales, or Power Platform flows on day one, with no template setup required.


7. Trial period and conversion

Your 30-day trial begins from the date the license is issued. You will receive reminder emails at day 7, day 3, and day 1 before expiry.

To continue after the trial, subscribe through the Vault admin portal. The Vault admin upgrades your license plan in the portal. Your Dispatcher, adapters, and VaultLifecycle workspace are unaffected. No reinstall or redeployment is required. See Trial and Licensing for full details.
